Privacy policy

How Online Teetimes collects, uses and protects personal information.

Last updated: October 2026

Welcome to the Online Teetimes (“Online Teetimes”, “we”, “us”, “our”) privacy policy (“Policy”). We wrote this Policy to help you understand what information we collect, how we use it and what choices you have about it.

Online Teetimes runs the UK Golf Courses and Ireland Golf Courses websites and apps, which sell tee times on behalf of golf clubs, and this website, onlineteetimes.co.uk (together, our “Services”). This Policy applies to golfers who use our Services and to anyone whose information we otherwise receive in connection with them, such as people who contact us through this website on behalf of a golf club, and contacts at our partners. Everyone this Policy applies to is referred to as a “user”.

Who we are

The data controller for information you provide to us, or that we collect, is:

Online Teetimes Limited, a company registered in England and Wales.

If you live in Ireland or elsewhere in the European Union, the data controller is:

Online Teetimes Limited, a company registered in Ireland.

You can contact either company at hello@onlineteetimes.co.uk.

We process personal information in the UK and the European Economic Area. Some of the companies that provide services to us are based outside these areas. Where we transfer personal information outside the UK or EEA, we use safeguards approved under data protection law, such as the UK International Data Transfer Agreement or Addendum and the EU Standard Contractual Clauses.

What information we collect

Information you give us. We receive and store information you enter on our Services or give us in any other way. This includes information that can identify you (“Personal Information”), such as your first and last name, telephone number, postal and email addresses, login details, payment information (such as card number, cardholder name and expiry date) and related payment verification information. If you contact us on behalf of a golf club, this includes your name, your club, your contact details and anything you tell us in your message. You can choose not to provide information, but some information is needed for you to create an account, book a tee time, ask us a question or complete other transactions.

Information from other sources. We may receive personal and non-personal information about you from golf clubs, our partners (such as loyalty programmes), service providers and publicly available sources, and add it to your account information. Examples include booking updates, confirmation that you are eligible for a partner offer, and preferences.

Automatic information. We collect some information about your device when you use our Services, including device type, operating system, settings, unique device identifiers and crash data that helps us understand when something breaks. We may also collect information about your activity on our Services, such as courses viewed and bookings made. We use this to improve your experience and to help prevent fraud.

How we use your information

Information you give us. We use it:

  • to carry out our obligations under any contract between you and us, such as completing a tee time booking, and to provide the information, products and services you ask for;
  • to respond to enquiries, including enquiries from golf clubs about working with us;
  • to tell you about other products and services we offer that are similar to those you have bought or asked about;
  • to provide you, or let selected third parties provide you, with information about products or services we think may interest you. If you are an existing customer, we will only contact you by electronic means (email or SMS) about products and services similar to those you have bought or asked about;
  • to tell you about changes to our Services; and
  • to make sure our Services are presented in the most effective way for you and your device.

Information we collect about you. We use it:

  • to run our Services and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
  • to improve our Services;
  • to let you use interactive features when you choose to;
  • to help keep our Services safe and secure;
  • to measure the effectiveness of our marketing and to show you relevant offers; and
  • to suggest courses, tee times or offers that may interest you.

Information from other sources. We may combine it with information you give us and information we collect about you, and use the combined information for the purposes above.

Who we share your information with

  • Golf clubs and their tee sheet providers. When you book a tee time, we pass the club the information it needs to confirm your booking and receive you on the day. This goes through the club’s tee sheet system. Golf clubs are not controlled by us, and information disclosed to them is subject to their own privacy policies.
  • Service providers who work on our behalf, including payment processing, technology and hosting, analytics, customer service, marketing, surveys and fraud prevention. They may only use your information to do that work, and must keep it secure.
  • Partners. If you use a partner offer, such as a Sky VIP discount or converting HEKA points into credit, we share the limited information needed to confirm your eligibility or apply your points. The partner’s own privacy policy applies to the information it holds. We do not control our partners’ privacy practices.
  • Companies in our group, including any parent company and affiliates, who will protect your information to at least the standard described in this Policy.
  • With your consent, where we tell you about the sharing and you agree to it.

We may also share your information:

  • in response to court orders or other legal process, to establish or exercise our legal rights, to defend legal claims, or where the law otherwise requires it;
  • where we believe it is appropriate to investigate, prevent or act on illegal or suspected illegal activity, to protect the rights, property or safety of Online Teetimes, our users or others, or in connection with our Terms of use; and
  • in connection with a corporate transaction, such as a merger, sale of assets or change of ownership, or in the unlikely event of insolvency.

We may share aggregated or anonymous information that does not identify you, for example the number of bookings made through our Services. Other than as set out above, we will tell you when we intend to share your Personal Information with third parties, and you will be able to choose not to have it shared.

Our legal grounds for using your information

The UK GDPR and EU GDPR require us to have a legal ground for using your personal information. We rely on one or more of the following.

Contract. We need to use certain information to provide the Services you ask for, such as setting up and maintaining your account, taking payment, completing your booking and contacting you about it.

Legitimate interests. We use information where it is necessary for our legitimate interests, including:

  • keeping our users and Services safe and secure, and preventing and detecting fraud;
  • providing customer support;
  • improving our Services and developing new ones, including analysing how they are used;
  • responding to enquiries from golf clubs and managing our relationships with clubs and partners;
  • direct marketing, for example tailoring offers to what golfers book; and
  • enforcing our Terms of use.

Consent. We may use your information on the basis of your consent, for example to send certain marketing. You can withdraw consent at any time. If you do, you will not be able to use any feature that relies on it.

Legal obligation. We keep some information, such as transaction records, because the law requires us to.

Your rights and choices

To use any of these rights, contact us at hello@onlineteetimes.co.uk.

  • Access. You can ask for a copy of the information we hold about you. We will usually respond within one month.
  • Correction and deletion. You can update your details in your account settings, or ask us to correct or delete your information.
  • Objection and restriction. You can ask us to stop or limit how we use your information, including for marketing.
  • Portability. You can ask for information you gave us to be sent to another organisation, where we hold it with your consent or to perform a contract with you and it is technically feasible.
  • Marketing. Every marketing email includes a link to unsubscribe, and you can change your choices in your account settings. We may still send service messages about your account and bookings.
  • Notifications. You can turn off app notifications at any time in your device settings.

You also have the right to complain to a data protection regulator: in the UK, the Information Commissioner’s Office (ico.org.uk); in Ireland, the Data Protection Commission (dataprotection.ie). We would appreciate the chance to deal with your concern first, so please contact us.

How long we keep your information

We keep information for as long as we need it to provide our Services, support customers, meet our legal obligations and for other legitimate operational purposes. You can ask us to delete your account at any time. We will then delete the information we are not required to keep. In some cases we may be unable to delete your account straight away, for example if there is an unresolved claim or dispute; once it is resolved, we will delete your account.

We may keep certain information where it is necessary for our legitimate interests, such as fraud prevention and security. For example, if we close an account because of a security incident, we may keep enough information to stop the same person opening a new account.

Cookies and similar technologies

Our booking websites and apps use cookies and similar technologies to keep you signed in, remember your preferences and understand how our Services are used, for example which areas are used most and whether errors occur. This helps us improve performance and make what we show you more relevant. Where the law requires it, we ask for your consent before using non-essential cookies, and you can change your choice at any time. You can also control cookies through your browser settings.

This website, onlineteetimes.co.uk, does not use advertising or analytics cookies.

How we protect your information

We are committed to protecting the information we collect. No website or app can guarantee security, but we use appropriate administrative, technical and physical measures to protect your personal information. For example, only authorised staff can access personal information, and only for permitted business purposes. Information is encrypted in transit between your device and our systems, and we use firewalls and monitoring to help prevent unauthorised access.

Children

Our Services are not intended for anyone under 18, and we do not knowingly collect personal information from children under 18. Please do not submit personal information to our Services if you are under 18.

Changes to this Policy

We may update this Policy from time to time. We will tell you about significant changes by email, by a notification in our apps, or by a clear notice on our websites.
